Commissioning and fault guides for heat pump manufacturers.

Contractors on the government’s heat pump trial reported that up-to-date manufacturer documentation could be hard to find and that technical support took time to reach. Lingo turns your installation and commissioning manuals into step-by-step guides that your technical team checks and publishes, and installers follow them on WhatsApp, Teams, web or email.

  2. 2.The controller on the indoor unit
The wall-mounted controller

FIX

1. Open the installer settings. 2. Find the weather compensation page. 3. Enter the curve from the system design. 4. Save, then check it is switched on.

The government’s heat pump trial recorded three problems with manufacturer support. Lingo answers each.

Two heating engineers fit a hot water cylinder in a utility room. One kneels with the printed installation manual open in his hand.
The Electrification of Heat demonstration project installed 742 heat pump systems in 2020 and 2021. Its Home Surveys and Install Report (LCP Delta for BEIS, December 2022) records what the delivery contractors said.
  • “can be lacking or inconsistent”

Manufacturers’ installation guidance, even where installers had recent manufacturer training.

Lingo sends the steps from your own manual, checked and published by your technical team.

  • “was also time consuming”

Contacting the manufacturer’s technical support, in some cases.

Lingo answers at any time, and a person from your team is one message away in the same conversation.

  • “Accessing up to date and correct documentation for products can be a challenge”

Where a manufacturer has thousands of product lines.

Each product has its own guides. Lingo asks which product the installer has before it sends a step.

What a guide answers at the unit and the controller.

Lingo drafts guides from your installation, commissioning and controller manuals for the jobs an installer does on site. The same applies to boilers, air conditioning and ventilation units: any product with an installation and commissioning manual.

  • Commissioning

The MCS installation standard requires a system to be “commissioned according to a documented procedure”, and notes that the manufacturer’s checklist can be used. A guide takes the installer through yours a step at a time.

  • Weather compensation

The trial’s optimisation report (DESNZ, December 2024) calls poor control of the curve “one of the most common and easily rectified causes of lower efficiency for domestic heat pumps”. A guide gives the documented steps for the controller fitted.

  • Installer settings

Where a setting sits in the installer menus of the controller fitted, and the order your manual gives for changing it.

  • Fault indications

What a fault indication means on this model, and the checks your manual lists for it. One manufacturer’s fault table already pairs each fault with a diagnosis method and a solution.

  1. 1

You send the manuals for one range

Two current installer manuals run to 292 and 92 pages. One describes itself as part of a documentation set. The other keeps its commissioning checklist in a separate controller manual.

  2. 2

Lingo drafts a guide for each task

A guide is a short sequence of questions and fixes. It asks which model or controller is fitted, and the answer decides the steps that follow.

  3. 3

Your technical team checks and publishes

They check each draft against the manual, correct it and publish it. When a manual is revised they can edit the guide or unpublish it.

  4. 4

    Installers message a WhatsApp number

A government study (BEIS, January 2023) found that 95% of heating and cooling firms are sole traders or micro businesses. Their installers use the WhatsApp already on their phones, say which product they have and get the steps one at a time.

What your technical team sees and controls.

An installer can ask for a person at any point. The request reaches your team by email, and they reply in the same WhatsApp conversation with the earlier messages in front of them. You set the opening hours and the out-of-hours message.

Each conversation is kept with the installer’s name and number, the product and the guide used. When a question comes up that no guide covers, your team can add the answer to a guide.

Your team decides what gets a guide

They choose which procedures get a guide and which go straight to them. Refrigerant circuit work and system design questions, such as heat loss and emitter sizing, are examples: a guide can pass each to your people in one step. Access can be limited to the phone numbers you approve.

Questions heat pump manufacturers ask

Our installers already have a connected app. What would Lingo add?

The documented checks from your manuals, in order, on WhatsApp, Teams, web or email, for the model and controller fitted, at any hour, with a record of every conversation and a person from your team one message away. It covers every range you send documents for, including older products still in service. Lingo works from what the installer tells it, on any phone, so it runs alongside your app.

Can we keep homeowners out?

Yes. Access can be limited to phone numbers you approve, added one at a time or imported as a list.

Can it cover ranges we no longer sell?

Yes, where the documents exist. Each product has its own guides, and the installer is asked which product they have.

How much work is it for our team?

Checking drafts against the manual is the main work. Your team corrects and publishes each guide, and chooses which tasks to start with.

How is it priced?

By the number of products you support, from £500 a month for five products. There is no setup fee, and no limit on installers or conversations.
